It appears that you have to manually scan folders to add new files. It would be much more efficient (from a workflow perspective, not necessarily from a system resource perspective) to have pre-defined directories scanned for changes. This could occur at startup, shut down, or pre-defined times (at night).

IMatch image management software is an example of an effective implementation of this process.
